Free Invoice Generator Without Sign-Up: Create and Save a PDF

Build an invoice without creating an account. Check line items, discounts and tax, save through browser print and keep a separate payment record.

Gather the information before opening the form

Have the approved price, billing contact, invoice reference and payment deadline ready. Confirm whether the client needs a purchase-order number or project reference. If you are billing a milestone, identify that milestone rather than repeating the full contract value as the current charge.

For hourly work, reconcile the billed hours with your time record. For fixed-price work, use the agreed deliverable or stage. Choose one currency for the document. Changing the currency symbol does not convert the amounts.

Build the invoice in a clear sequence

  1. Replace the sample business and client details.
  2. Set the invoice number, issue date and agreed due date.
  3. Add descriptions with quantities and rates. Remove sample rows you do not need.
  4. Enter only applicable adjustments and the tax rate you have determined.
  5. Add payment instructions and the relevant agreement reference.
  6. Read the preview from the client's perspective before saving.

The useful check is whether someone can identify what they owe without contacting you for an explanation. Avoid descriptions such as “miscellaneous work” when a deliverable or period would be clearer.

Worked example: understand the order of calculation

Assume four approved hours at $90 and a separate $140 deliverable. The subtotal is $500. The parties agreed to a 10% discount, and this illustrative invoice has $20 shipping. Use an invented 8% tax rate solely to demonstrate the tool's single-rate calculation; it is not a tax recommendation.

Step Calculation Amount
Subtotal 4 × $90 + $140 $500.00
Discount $500 × 10% -$50.00
Shipping Entered amount $20.00
Tax base in this tool $500 − $50 + $20 $470.00
Example tax $470 × 8% $37.60
Example total $470 + $37.60 $507.60

If your applicable rules tax only selected items or treat shipping differently, this calculation may not fit. Use a suitable invoicing workflow instead of entering a misleading combined rate.

Save and inspect the PDF

The Download PDF control opens the browser's print workflow. Choose its PDF-saving option, inspect the page range and check whether long descriptions break cleanly. Browser menus and print settings vary, so confirm the saved result rather than assuming the preview guarantees a one-page document.

Name the file with the invoice reference and keep a copy before sending. A PDF does not automatically update when you change the browser draft later. If a sent invoice needs correction, preserve the history and follow the correction process appropriate to your records.

Keep a separate payment log

Record the invoice reference, issue date, due date, amount, payment date and amount received. Partial payments and refunds need their own entries. The IRS identifies invoices, receipts and deposit information as supporting records for business transactions. IRS supporting-document guidance

Local browser storage is a convenience, not a backup. The tool's Share function can include entered data in the link. Do not publish a link containing a client's address, confidential project details or payment information. For recurring reminders, payment reconciliation or complex taxes, assess a fuller invoicing system based on those specific needs.
